Privacy Policy

Effective date: 30 June 2026 · Last updated: 21 October 2026

This Privacy Policy explains how Faunify collects, uses, discloses, stores and protects personal information when you use faunify.co, the Faunify app, or a Faunify Business workspace.

1. About This Policy

Faunify ("Faunify", "we", "us" or "our") is an animal care organisation platform. It provides personal animal-care tools and a private workspace for animal businesses to manage animals, staff, stores, departments, tasks, stock, bookings, customers, sales, volunteers, adoptions and incident reports.

We handle personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth), and we apply the same standards to users outside Australia wherever reasonably practicable. By using Faunify you acknowledge that you have read and understood this policy.

2. Who We Are

Faunify is operated from New South Wales, Australia. Privacy questions and requests can be sent to admin@faunify.co.

3. Two Ways Faunify Is Used

Personal accounts

An individual manages their own animals and may invite family members or pet sitters to help. That person decides what is shared and with whom.

Business workspaces

A business creates a workspace and invites staff. The business decides which stores, departments and staff roles exist, and is responsible for the records it and its staff enter. For that workspace data, the business is the record keeper and Faunify provides the platform, storage and access controls.

We do not sell personal information.

4. Information We Collect

Account and login information

  • Name, email address and password (stored as a secure hash)
  • Account preferences and profile photograph (optional)
  • Authentication, session and security information

Business workspace information

  • Business name, business type and administrator contact details
  • Stores or locations, departments, and which staff work where
  • Staff names, email addresses, workspace roles, permissions and store assignments
  • Subscription plan, seat and store counts, and billing status

Animal and care information

  • Animal names, species, breed, sex, date of birth, weight and photographs
  • Identification details such as microchip numbers and enclosure names
  • Feeding, medication, exercise, grooming, shedding, weight and health observations
  • Medical notes, veterinary details and incident reports
  • Care tasks, schedules, completion records and who completed them

Customer, booking and business records

  • Customer or client names, contact details and notes held by a business
  • Booking, check-in and check-out records, including animal and customer names
  • Sales records, payment method, amounts and stock usage
  • Volunteer and adoption application records entered by a business

Payment and subscription information

Subscription status and purchase history are collected when a workspace subscribes. Card details are entered directly with and processed by Stripe; Faunify does not receive or store complete card numbers.

Information collected automatically

  • IP address, browser type, operating system and device information
  • Diagnostic information, crash reports and usage statistics
  • Security logs, login sessions and the date and time of access

Please do not enter sensitive information that the service does not need. Health information about animals is expected; health information about people is not.

5. How We Collect It

  • Directly from you, when you create an account, set up a workspace, enter records, or contact us
  • From the business whose workspace you use, for example when an administrator invites you or assigns you a store
  • Automatically, through cookies, session records and diagnostic logs
  • From our payment provider, for subscription and invoice status

You can use a pseudonym when contacting us, but a workspace account needs a real email address so we can verify it and send service messages. If you do not provide the information we ask for, we may not be able to create your account or workspace.

5. How We Use Information

  • Create and manage accounts, workspaces and staff access
  • Provide features such as records, schedules, tasks, stock, bookings and reports
  • Apply store-level access so staff see only the store they work in
  • Process subscriptions, seats, store counts and payments
  • Send service emails such as verification, invitations, password resets and receipts
  • Provide support and respond to requests
  • Detect, investigate and prevent fraud, abuse and unauthorised access
  • Maintain security, audit trails and backups
  • Comply with legal obligations and enforce our agreements

6. Access Controls Inside a Workspace

A workspace separates its data by store. Each staff member is assigned one store, unless the workspace administrator holds access to several. Staff can only read and change records for their own store, and only administrators can add or change store assignments, invite staff or manage billing.

These controls are enforced in the platform's data layer, not only in the interface, so records from another store are not returned even if someone tries to reach them directly. Administrators of a workspace can see and change all of that workspace's data, including every store, and can manage its users.

7. Responsibilities of a Business Workspace

A business using Faunify is responsible for the personal information it and its staff enter, including having a lawful basis to hold its customer, staff and animal records, telling those people how their information is used, and granting access only to people who need it.

If you are a customer or staff member of a business that uses Faunify, that business is the first point of contact for access and correction requests about its records. We assist businesses with those requests.

8. Disclosure and Service Providers

We disclose personal information only to the providers needed to run the service:

  • Base44 — application infrastructure, database, authentication and hosting
  • Stripe — payment processing, subscription management and fraud prevention
  • Resend — delivery of transactional and account emails

Each of these providers processes information on servers outside Australia, principally in the United States, and may hold it in other countries where it operates. We disclose information to them only for the purposes in this policy, and we remain accountable for information they handle on our behalf. By using Faunify you consent to this disclosure; where consent is not the basis for a transfer, we rely on the provider’s contractual and security commitments.

These providers process information only as needed to deliver their service. We may also disclose information where required by law, to protect someone’s safety, or as part of a merger or sale of the business, in which case this policy continues to apply until it is replaced.

9. International Transfers

Our infrastructure and providers may store or process information outside Australia. We take reasonable steps to ensure appropriate safeguards apply, and we remain accountable for information handled on our behalf.

10. Security

We apply reasonable technical and organisational safeguards: encrypted connections, hashed passwords, role- and store-based access control enforced in the database, restricted administrative access, and monitoring and backups.

No system is completely secure. If you believe an account or workspace has been compromised, contact us immediately at admin@faunify.co.

11. Data Breach Response

We maintain a documented response process for suspected and actual data breaches, including containment, assessment of serious harm, notification to affected people and to the Office of the Australian Information Commissioner where required, and a post-incident review. See our Data Breach Response Process.

12. Data Retention

We keep personal information only as long as it is needed for the purpose it was collected, to meet legal obligations such as tax and record-keeping requirements, to resolve disputes and to enforce agreements. Specific periods for each kind of record are set out in our Data Retention Policy.

13. Access, Correction and Deletion

Under Australian Privacy Principles 12 and 13 you may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it. We do not charge for making a request, and account holders can update most information directly in the app. Send requests to admin@faunify.co; we respond within 30 days, and if we refuse a request we explain why and how you can complain. Deleting an account removes its records as described in the retention policy, except information we must keep by law.

14. Marketing Communications

Marketing emails are sent only where you have opted in, consistent with the Spam Act 2003 (Cth): every marketing message identifies Faunify as the sender and carries a working unsubscribe link. You can unsubscribe at any time from that link or in your notification settings, and we action it promptly. Service messages about your account, security, subscriptions or legal notices are not marketing and are sent regardless of marketing preferences.

15. Cookies

We use cookies and similar technologies needed to operate the service, such as authentication sessions, secure checkout and fraud prevention. See our Cookie Policy.

16. Children

Faunify is not intended for children below the minimum age to form a binding agreement in their location. We do not knowingly collect their personal information; contact us if you believe a child has provided information.

17. Animal Health Disclaimer

Faunify is an organisational record-keeping platform. It does not provide veterinary, medical, behavioural or nutritional advice, and information entered by users is not reviewed by us. Users remain responsible for the care and welfare of their animals.

18. Complaints

If you are concerned about how we have handled your information, contact us at admin@faunify.co so we can respond. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).

19. Changes to This Policy

We may update this policy as the service changes. The revised version is published here with a new "last updated" date, and material changes are communicated to workspace administrators.
